1. Who we are
Infinitum Leadership (“we”, “us”, “our”) is a coaching practice based in Vancouver, British Columbia, owned and operated by Jonathan Evans. We provide executive, leadership, relationship, and team coaching, and we operate a separate wedding officiant business with an online store at infinitumleadership.com/weddings.
This policy explains what personal information we collect through our website, why we collect it, who we share it with, and your rights.

2. The laws that apply
We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and, for coaching and commercial activity that crosses provincial or international borders, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Both laws are built on the same fair information principles: we are accountable for the information in our care, we collect it for identified purposes with your consent, we limit what we collect and how long we keep it, we protect it with appropriate safeguards, and you have the right to see it, correct it, and complain about how it is handled.
3. What we collect
3.1 When you book or inquire about coaching
When you book a discovery call, an intensive, or a coaching program, or when you use our contact or intake forms, we collect:
- Your name, email address, and phone number
- Booking details such as the type of session, date, and time
- Anything you choose to tell us in a form or message, which may include background about your role, your team, or your goals
We collect this so we can schedule your session, prepare for it, communicate with you about it, and maintain a record of our work together.
3.2 When you pay for a service
Payments are processed by Stripe. When you pay for the Executive Clarity Intensive, a relationship coaching program, or a coaching sprint, Stripe collects your payment card details directly. We do not see or store your full card number. We receive confirmation of payment, the amount, and your name and email address so we can match the payment to your booking.
3.3 When you use the wedding store
Our wedding pages and online store collect:
- Your name, email address, and phone number
- Billing details for orders. The store sells services only, so no shipping address is collected.
- Order details (products purchased, dates, amounts)
- Payment details, processed securely by our payment processors (Stripe, Google Pay, Apple Pay). As with coaching payments, full card details go directly to the processor, not to us.
We use this information to fulfill your order, communicate about it, and meet our tax and accounting obligations.
3.4 When you browse the site
Like most websites, ours automatically collects limited technical information:
- Your IP address, browser type, and device information
- Pages visited, time spent, and referring pages
We use Google Analytics to understand how visitors use the site so we can improve it. This data is aggregated and does not identify you personally.
3.5 Session recordings
Coaching sessions held by video may be recorded using Fathom, but only with your knowledge and consent. Recordings are used to prepare session notes and, where agreed, shared with you. You may decline to be recorded, and you may ask for a recording to be deleted.
4. Consent
By providing your personal information through our booking forms, contact forms, or store checkout, you consent to its collection and use for the purposes described in this policy.
For sensitive uses, such as session recordings, we ask for your express consent separately. You may withdraw your consent at any time by contacting us, subject to legal or contractual limits (for example, we must keep payment records for tax purposes even if you withdraw marketing consent).
If you receive service or booking emails from us, they relate to a service you requested. We do not send unsolicited commercial email, and we do not operate a marketing newsletter.
5. Who we share information with
We do not sell personal information. We share it only with the service providers we need to run the practice, and only for the purposes described here:
| Provider | What they receive | Why |
|---|---|---|
| Calendly | Name, email, phone, booking details | Scheduling discovery calls and coaching sessions |
| Stripe, Google Pay, Apple Pay | Name, email, payment and order details | Processing payments for intensives, programs, and store orders |
| HubSpot | Name, email, phone, booking and communication history | Contact management and client communications |
| Aggregated website usage data | Website analytics | |
| WooCommerce | Name, email, order details | Running the wedding online store |
| Fathom | Video and audio from sessions | Session recordings, with consent |
Each of these providers has its own privacy policy governing how it handles the information it processes. We remain responsible for your personal information and choose providers we trust to protect it.
We will also disclose personal information if required by law, such as in response to a court order, or to protect someone's safety.
6. Where your information is stored
Some of our service providers store or process information outside Canada, principally in the United States (for example, Calendly, Stripe, HubSpot, and Google). When your information leaves Canada, it becomes subject to the laws of that jurisdiction. We remain accountable for it and require our providers to protect it with safeguards comparable to Canadian standards.
7. Cookies
Our website uses cookies and similar technologies for basic site functions (such as remembering your preferences) and for analytics. You can control cookies through your browser settings. Disabling cookies will not prevent you from browsing the site, but some features, such as embedded booking calendars, may not work properly.
8. How we protect your information
We protect personal information with safeguards appropriate to its sensitivity, including:
- Secure, password-protected systems with multi-factor authentication on key accounts
- Limiting access to client information to Jonathan Evans and only those who need it to provide the service
- Encrypted connections (HTTPS) for the website and booking pages
- Payment card details handled exclusively by our payment processors, never stored on our servers
No system is completely secure, and we cannot guarantee absolute security. If we discover a breach of your personal information that creates a real risk of significant harm, we will notify you and the relevant privacy commissioner as the law requires.
9. How long we keep information
We keep personal information only as long as needed for the purposes described here:
- Booking and payment records: 7 years, for tax and accounting purposes.
- Client coaching records: as set out in your coaching agreement.
- Contact and inquiry records: 2 years after our last communication, unless you ask us to delete them sooner.
- Marketing contacts: until you withdraw consent
- Website analytics data: in aggregated form, up to 26 months.
When information is no longer needed, we securely delete or anonymize it.
10. Your rights
You have the right to:
- See what personal information we hold about you
- Correct anything that is inaccurate or incomplete
- Ask us to delete your personal information, subject to legal retention requirements
- Withdraw consent for uses based on consent
- Complain about how we handle your information
To exercise any of these rights, contact Jonathan Evans at Jonathan@infinitumleadership.com or (604) 343-4944. We will respond within 30 days. We may need to verify your identity before releasing information.
If you are not satisfied with our response, you may complain to the Office of the Information and Privacy Commissioner for British Columbia (OIPC) or, for matters under federal jurisdiction, the Office of the Privacy Commissioner of Canada (OPC).
11. Children and minors
Our services are offered to adults, or to minors with a parent's consent, where the parent acts as the sponsor under the coaching agreement. We do not knowingly collect personal information from children without parental consent. If you believe a child has provided us with personal information without such consent, please contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The current version will always be posted at infinitumleadership.com/privacy-policy, with the date of the most recent update shown at the top. Significant changes will be highlighted on the site.
